After School Club: Our ASC is exclusively for the children that attend our partnership linked school(s). Operational hours may vary across different school site locations.

Core Hours: Operates from 3pm to 6pm (This may be subject to change; written notifications would be emailed prior to any changes taking effect).

Eligible criteria: for our Wraparound ASC programme in partnership with LA Croydon council - the eligible criteria is applicable to recipients in receipt of Tax-Free Childcare / Universal Credit childcare / families and carers in need of wraparound childcare. While this programme does not offer funded places, where parents are eligible, they should be able to receive support towards the cost of wraparound.

Tax-Free Childcare: Full details on eligibility can be found on GOV.UK. With Tax-Free Childcare, the government will pay £2 for every £8 paid into an account, which can be used against payment for ‘approved’ childcare provision. Eligible parents can receive up to £2,000 per year per child up to the age of 11, or £4,000 per year for a child up to the age of 16 if the child is disabled.

Universal Credit: Using the childcare element of Universal Credit, eligible parents may be able to claim back up to 85% of their childcare costs. The amounts parents can receive in childcare costs are a maximum of £951 per month for one child, or a maximum of £1630 per month for two or more children.

NB* Please be reminded to inform us when you require your (Statement of Confirmation) Letter before your Universal Credit deadline date to ensure your 85% rebate claim is processed on time. The responsibility and ownership in obtaining a (statement of confirmation letter) from us is on the claimant(s) wanted the 85% rebate from their universal credit provider. We will provide it when asked. If the required time has lapsed regarding submission to your universal credit provider, the ownership remains solely with you the claimant and we will not be held responsible or legally liable for remeburstment.

Parents and carers in need of wraparound childcare can also pay to access their child(ren) school ASC wraparound provision.

Transferring days / dates: We do allow for days and/ or dates paid in advance to be rolled over or swapped to another that is more convenient, to ensure you don't lose out. If you do not use any booked day(s)/date(s) it can be carried over or swapped to an alternative day(s) or date(s) as we operate a (No REFUND) Policy.

ASC - No Refund Policy: We operate a No Refund policy. Once the fee has been paid there are NO REFUNDS for days on which your child / children do not attend. You can however, swap/rollover days/dates to ensure you do not miss out.

ASC - Late collection After School Club and Extended Late Pick Up: Late collection starts from 6.00pm onwards and will be charged a Late collection fee from 6.00pm onwards. The fee will be charged at £5.00 for the first 5-minutes from 6pm to 6.05pm and £1 for every one minute running thereafter with no exceptions.

ASC - Late fees must be paid by 12.00pm the next working day, otherwise the membership/ account will be suspended until the account has been reconciled. A late payment fee notification will be added to your account and will show as a pending outstanding balance.

Reconcile outstanding balances: Failure to reconcile an outstanding balance on your account, will result in the account membership being withdrawn and access denied to attend the ASC provision. To reconcile an outstanding account balance swiftly, bank transfer to 4Every Child Ltd sort code 60-83-71 account number 54 67 83 07 - use the child(ren) name(s) as the banking reference.

Where applicable - third party gateway platform fees apply: This is a secure third party gateway platform. All payments processed via the system will be subject to an administrative surcharge to process the payment as the third party gateway platform provider. (However we include these fees as part of your Universal Credit rebate claim support when providing you with your statement of confirmation letter for you to submit via your Universal Credit account.

Lunch: We are a NUT FREE provision. (Our hot meals and snacks may contain dairy and gluten). We strongly recommend/ advise, if your child(ren) has any special dietary requirements to provide a packed lunch and snack bag, to ensure their food safety requirements are met. NB: We do not purchase gluten free or dairy free special dietary foods.

We ensure all our meals and snacks meet the DFE school food standard guidelines. We provide healthy snacks and fruit to last the duration of the ASC. No Fizzy drinks and food containing nuts are not permitted. We also recommend including a refillable water bottle, to ensure we can keep your child(ren) well hydrated.

Termination of membership: Your child(ren) membership may be terminated by the 4Every Child management team due to consistently falling behind on payments or failure to comply with our terms and conditions.

Termination of membership by account holder: One month written notice must be given in order for your account closure request to be action. We will confirm your cancellation request in writing prior to the account being closed.

Safeguarding: Child safety is our first priority at 4Every Child. If we suspect that your child(ren) are at risk of harm we are required to make a written record of our observations and any disclosures made by a child, we are in good practice duty bound to and will pass that information along with your full registration details on to the Local Authority Multi-Agency Safeguarding Hub who will decide on the next course of action.

Zero tolerance verbal/ physical abuse policy: Any display of any violent behavioural physicality or verbal abuse towards any staff member from an adult connect to or repesenting a child in attendance across any of our mainstream alternative educational / PUR settings / Our After school enrichment clubs / our SEND only After school provisions will result in the child(ren) access to our services being withdrawn and access denied with immediate effect and our (No Refund Policy) will apply. (We will ensure the wellbeing and safety of our staff. Our expectation is that all adults using our services cooperate and interact with our staff in a respectful manner) as we do our very best to ensure the safety and wellbeing of each child is upheld and their time spent in our care remains a positive experience.

Holiday Activity and Food: Our HAF programmes are exclusively for SEND cohorts that attend our partnership linked school(s). Operational hours may vary across different school site locations.

HAF Core Hours: Operates from 10am to 2pm (This may be subject to change written notifications would be emailed prior to any changes taking effect).

Eligible criteria: for our HAF programme in partnership with LA Croydon council - the eligible criteria is applicable to recipients in receipt of FSM - Free school meals or no recourse to public funding this programme offers funded places where parents are eligible and receive the 16-digit voucher code or have a professional referral done on their behalf from a school SECO or social worker.

Damaging company property policy: Any child(ren) found damaging / defacing / using intentionally excessive physical force used to inflict or break company property will result in that child(ren) appropriate adult being contacted and notified of the incident. The outcome will result in an invoice being issued for the child(ren) appropriate adult to reconcile the outstanding amount to reindust the cost of the damaged item(s). Access will be withdrawn if the outstanding bill is not cleared within a 48 hour period.

Term of Business applicable across all provisions / projects: Our terms and conditions of business are applicable across all of the 4Every Child Ltd programmes and provisions. The list includes but is not limited to - After School Club SEND provision / HAF SEND holiday programmes / Short Break SEND projects/ Secondary mainstream alternative educational provisions / Enrichment ASC clubs.

Participation policy Children have the opportunity to participate and make decisions on a day-to-day basis, including, but not limited to: • Choosing freely what type of play to engage in • Choosing what snacks to eat, from the (available snake range) • Preparing snacks themselves (In the dedicated food prep area) and (Practical cookery sessions) • Using our resource library to select toys or activities that are not already set out • Using our suggestion box to request new resources, activities or other changes. (This participation policy may not be available across all of our settings)
